Zoom

UGent uses Zoom as a virtual classroom tool.

Zoom is available in:

  • Ufora courses that are linked to official course units of the AY 2020-2021, 2021-2022 and/or 2022-2023.
  • Ufora infosites

What is a basic profile?

All students must create a basic profile in Zoom.

  • free profile in Zoom
  • to link to your UGent account (sign in via SSO)
  • needed to participate in virtual classrooms
  • needed to view recordings of these virtual classrooms within Ufora
  • possibility to schedule and host sessions:
    • with a maximum duration of 40 minutes for group sessions up to 100 participants
    • no possibility of recording the session in the cloud

Technical tips

For Zoom to work properly, we recommend the following:

  • Always sign in with SSO in Zoom
  • Preferably use an internet cable instead of a wireless (wifi) internet connection
  • Preferably use headphones with a microphone (to avoid disturbing ambient noise)
  • Test the audio and video settings in Zoom in advance
  • Update the Zoom Client for Meetings app regularly

  • Adding Zoom as a trusted application in the system preferences of your operating system (MacOS)
  • Adding Zoom and Ufora as trusted websites in your browser
  • Check that your browser does not block essential cookies or javascript (do the test)
  • Update your browser(s) regularly (or open Ufora in another browser)
  • Start the virtual classroom via Ufora (in a browser on your hard disk instead of within Athena)
  • Close other applications during the virtual classroom (E-mail, VPN, Athena, ...)
  • Use a recent device
  • ...

User guidelines

Before the virtual classroom

  1. Start your PC at least 5 minutes before the lesson starts
  2. Go to the Calendar of the correct Ufora course
  3. Select the event and click on the "join url"

During the virtual classroom

  1. Turn your microphone off and your camera on, unless the teacher tells you otherwise.

  2. Make sure that the teacher's image remains visible at all times. This can be done by pinning the video via the 3 dots at the top right.

  3. Make sure that the teacher's video remains visible next to the presentation. To do so, click on "Side-by-side mode" under "View Options". Now you can adjust the size of the presentation and the video image by moving the middle bar.

  4. There are 2 ways to ask a question during the lesson. Via chat or by raising your hand virtually. You do the latter by clicking on "Raise hand" under "Participants". The teacher will then indicate when you can speak. Don't forget to turn on your microphone. Wait 2 seconds before asking your question. Speak calmly and clearly. Turn your microphone off again afterwards.
  5. Your teacher can also divide all participants into groups or breakout rooms (e.g. to discuss with some other students). In such a breakout room you have several possibilities: share your screen, chat and ask the teacher for help if there is a problem. You will receive a message when the breakout rooms end and you return to the main session.
  6. Don't forget that everyone can see and/or hear you when your camera and/or microphone is on.

After the virtual classroom

Your instructor will communicate where the recording is in the Ufora course:

  • in the module Contents
  • in the tab "Cloud recordings" under Other tools > Zoom

If you cannot view the recordings, you are not logged into Zoom via SSO (Please go to "How to switch to your UGent account?").
